Mess attendance register, in English and Marathi: A free attendance sheet. Print it, or fill it in Excel.
A mess attendance register has one row per member and one column for each day of the month. Keep lunch and dinner separate: a tick when they eat, L when they are on leave. Count each member’s meals at month-end, and the bill gets easy and the arguments get fewer.
No sign-up needed. The Excel file has separate lunch and dinner sheets, room for 150 members and a month summary. The PDF fits 25 members and 31 days on one A4 page.
What a mess register needs
With these seven things, the answer to “I only ate 20 days” is already in the register.
| What | Why it matters |
|---|---|
| Member’s name and number | The number keeps two people with the same name apart. |
| Month and meal | A separate page for lunch and for dinner. Two-meal members appear on both. |
| A column for each day | 1 to 31. Who ate on which day, at a glance. |
| One set of marks | A tick for ate, L for leave, empty for didn’t come. Everyone uses the same marks. |
| Closed days | A line down that day’s column, so the day counts against nobody. |
| Each member’s total | Meals eaten in the month: the number you need when you deduct or add days for leave. |
| Each day’s total | How many plates went out that day. Compare it with what you cooked. |
A filled-in register
Each member’s meals on the right, each day’s total at the bottom. The mess was closed on day 5.
- In the Excel file you only type 1 or L; the counting happens by itself.
- The “Month” sheet shows everyone’s lunches, dinners, total meals and leave marks together.
- Use these numbers when you work out deductions on the free mess bill template.
| Name | 1 | 2 | 3 | 4 | 5 | 6 | 7 | Total |
|---|---|---|---|---|---|---|---|---|
| Rahul | ate | ate | ate | L: on leave | mess closed | ate | ate | 5 |
| Priya | ate | ate | did not come | ate | mess closed | ate | ate | 5 |
| Amit | ate | L: on leave | L: on leave | ate | mess closed | ate | did not come | 3 |
| Sayali | ate | ate | ate | ate | mess closed | ate | ate | 6 |
| Day total | 4 | 3 | 2 | 3 | mess closed | 4 | 3 |
Marks: ✓ ate · L leave · empty = didn’t come · line = mess closed
Five common mistakes with attendance
Ticks added later from memory
Tick while you serve. Ticks written in the evening from memory are usually wrong.
Lunch and dinner in one row
Two marks in one box and the two-meal plans never add up. Keep separate pages.
Leave not marked
At month-end nobody remembers whether an empty box was leave or a no-show. Write L.
Many hands, many marks
One ticks, one circles, one writes a number. Agree one way and write it at the top of the register.
The register left open at the counter
Anyone can add or scratch out a tick. Keep it with you once serving is over.
If you’d rather not keep attendance by hand
In CloudMess, a mess management app, the QR scan is the attendance:
- Members scan your QR before each meal; it is recorded with their name, the time and a token number
- Lunch and dinner kept apart by themselves, and one scan per meal
- Today’s list and each member’s meals so far, on your phone
- A member forgot their phone? You can log their meal in the app yourself
- Members request leave in the app, and you approve it

Common questions
What about one-meal plans?
Mark them only on the sheet for the meal they eat. Their row on the other sheet can stay empty.
What if a member starts mid-month?
Strike out the boxes before their start date (in Excel, leave them empty). The bill follows their plan dates.
Where do guest meals go?
Not in the register: put them on that member’s bill under “Extras”, with how many and on which day.
Can I fill the Excel file on a phone?
Yes. Open the file in Google Sheets or the Microsoft Excel app; the counts work there too.
Attendance, dues and receipts in one app?
Send “Hii” on WhatsApp. In Pune, we come to your mess and set CloudMess up with you.
