Monthly mess bill format, in English and Marathi: A free template. Print it, or fill it in Excel.

A monthly mess bill needs only this: the member’s name, the period, the monthly fee, any earlier dues, extras, deductions, what was paid and what is left. The template below is free: fill it in Excel and the totals add up by themselves, or print the PDF and fill it by hand.

No sign-up needed. The Excel file has room for 150 members. The PDF has two bills on each A4 page; cut it in half.

What goes on a mess bill

With these ten lines on every bill, the month-end “but I paid” argument has nothing to stand on.

Total due, paid and balanceWrite the date and the way it was paid (cash or UPI) next to the amount.
Due date and signatureOne line such as “please pay by the 5th”, and the owner’s signature.

A filled-in bill

The sum is simple: monthly fee + earlier dues + extras − deductions = total due. Total due − paid = balance.

  • In the Excel file the sums happen by themselves; you only type in the yellow boxes.
  • The Excel file has a “Members” sheet: the whole month on one page, each member’s balance, the totals at the bottom, and cash and UPI added up separately.
  • It also opens in Google Sheets or the Excel app on a phone.
  • To count who ate how many meals, use the free attendance register.

Five common mistakes in mess accounts

  1. Bills without numbers

    Without a number you can’t tell which bill went out and which didn’t. Number them in order, starting at 1.

  2. Money taken, no receipt

    Cash or UPI, write down every payment with its date and give the member a receipt. That ends the argument before it starts.

  3. Dues not carried forward

    If last month’s balance doesn’t appear on the new bill, it usually never gets paid.

  4. Leave rules only spoken

    Put in writing how many days of leave earn days back. Nobody should feel the rules changed at month-end.

  5. Cash and UPI mixed up

    Write them separately, and at month-end the cash in hand and the UPI money in the bank are quick to check against each other.

Common questions

Do I add GST to the bill?

This template doesn’t add GST. If your mess is registered for GST, ask your CA what the bill must show.

What’s the difference between a bill and a receipt?

A bill says what is owed; a receipt says what was received. Give both: the bill at the start of the month, the receipt when the money comes in.

Can I fill the Excel file on a phone?

Yes. Open the file in Google Sheets or the Microsoft Excel app; the sums work there too.
