Monthly mess card format, in English and Marathi: A free monthly mess card. Print it, cut it, hand it out.
A monthly mess card stays with the member, usually a student or a working person. It shows the mess, the member’s name, the plan, the dates, the fee paid and one box for every meal. When the member eats, the owner signs or punches that box, so the card itself shows how many meals are used and how many are left.
No sign-up needed. The PDF has two kinds of card, two on each A4 page; cut it in half. In the Excel file you type your mess name once and it prints on every card; it also keeps a list of the cards you give out.
Mess card design: what goes on it
With these nine things on the card, nobody has to ask whose card it is, how long it runs or how many meals are left.

A filled-in card
A two-meal card for October, the first ten days. The member was on leave on the 4th and the mess was closed on the 6th. Dinner on the 10th is still to come.

Five problems with paper cards, and what to do
Cards get lost
Write the card number and the amount paid in your own record too (the “Cards issued” sheet in the Excel file). How many meals were used on a lost card, you only know if you also keep attendance.
Members forget the card
Decide beforehand whether a meal without the card is allowed. If it is, note it in your book and sign the card next time.
Marks anyone can copy
Anyone can draw a tick. Use your signature, your initials or a punch only you have.
Cards passed to friends
Write the member’s name and card number on the card, and print the “for you only” rule on it.
Arguments about meals left
Say it when you hand over the card: does a skipped meal carry forward, and does leave add days? Then write that rule on the card.
A digital mess card: your QR and the member’s phone
If you’d rather not use paper cards: in CloudMess, a mess management app, the member’s phone is their card.

Common questions
Cards, coupons or tokens?
For monthly members a card is simpler: the whole month on one card. Coupons or tokens, one slip per meal, suit occasional eaters and guests, but they are more work to print, count and keep safe.
What paper should I print on?
Thick card paper (around 250–300 GSM) lasts the month. Don’t laminate it: a pen won’t sign on lamination.
What if a member starts mid-month?
On a date card, sign from the start date. A card that starts on 15 October covers 15–31 October and then 1–14 November; write those dates on the card.
Can I fill the Excel file on a phone?
Yes, you can fill it in Google Sheets or the Excel app. To print, open the “Date card” or “Meal card” sheet in Excel on a computer and save just that sheet as a PDF; send only that to a print shop. Don’t send the whole file: the “Cards issued” sheet has your members’ names and numbers. Or print the free PDF and write your mess name by hand.
